The short version
The case content you enter into our tools — names, notes, family details, uploaded files — stays on your device or your organisation's own storage. We never receive it. The only personal data we hold is what you give us to run your account: your login email and your subscription status.
The AI Social Worker ("AISW", "we") is a suite of tools operated by ADAIDIGITAL LTD, a company registered in England & Wales. We are the data controller for the limited account data described below. For any case data you process using our tools, your employer / the relevant local authority is the data controller — not us (see §4).

We do not collect, transmit, store or have access to the case content you enter into the tools — genograms, life-story entries, direct-work responses, notes, names of children or families, or files you attach. That information is held locally in your browser (or exported to storage you control). It does not reach our servers.
Because case content never reaches us, the data-controller responsibilities for that content — including any Data Protection Impact Assessment, retention schedule and responses to data-subject requests about case records — sit with your employer / local authority. Please follow your organisation's information-governance policy when using any tool with real case information.
Account and subscription data is hosted on Google Firebase in the UK (London, europe-west2). Our sub-processors are Google (Firebase — hosting, authentication) and Stripe (payments). Both are bound by their own data-protection terms.
We process account data to perform our contract with you (providing your account and any subscription) and on the basis of legitimate interests (security and improving the tools). We keep account data while your account is active and for a short period afterwards, then delete it. You can ask us to delete your account data at any time.
Under UK GDPR you have rights of access, rectification, erasure, portability and objection over the account data we hold. To exercise them, email privacy@aisocialworker.co.uk. Requests about case records should go to your organisation, which holds that data. You may also complain to the Information Commissioner's Office (ico.org.uk).
We use only what the tools need to function: an authentication/session token when you log in, and your in-browser preferences (such as theme and your saved tool data). We do not use third-party advertising or tracking cookies.
We may update this policy; we'll change the "last updated" date above when we do.
